How to Offboard a Provider and Find a Replacement with Kendall Hagensen

What do you do when a practitioner decides to move on? It’s inevitable that this will happen within your practice. Today I answer a listener question from a chiropractor and clinic owner in Vancouver, BC, who is navigating the tricky process of offboarding a practitioner from their wellness center. I share the challenges and best practices I've learned when it comes to smoothly transitioning a departing provider. The listener has been running their clinic for just over a year and is now facing the inevitable – one of their practitioners, a clinical counselor, has decided to venture out on their own. While they're supportive of their colleague's decision, the task of finding a replacement and ensuring a seamless transition for clients has become a top priority. "Making it a smooth transition is all about prioritizing the clients. One thing that can be kind of a best practice option in these scenarios is to have a formal letter that is given to all the clients that explains the transition." I dive deep into the key considerations for offboarding a practitioner. This actually starts with the onboarding process, and legal agreements to the administrative and relational aspects. I emphasize the importance of having clear protocols in place, such as return of company property, client information handoffs, and the recommended notice period (hint: it's longer than the traditional two weeks). I believe this episode is essential for any clinic owner or wellness center leader who has faced or anticipates facing the challenge of a practitioner departure. In this episode, I had the pleasure of being interviewed by chiropractor Josh Satterlee, DC about the concept of trauma-informed care and how it can transform patient communication. As a mental health counselor, I shared my perspective on adopting a trauma-informed approach in clinical settings. "What I mean by trauma informed is that we are considering the whole person that we are interacting with and assuming most of the time correctly that they are of course coming into this interaction with us with their own unique life story." Drawing from our experience, we outlined how we implement trauma-informed principles in our practices, from hiring staff to interactions with patients. By considering each person's unique experiences and responses, we aim to create a safe, supportive environment tailored to their needs. Together, Josh and I explored the mindset shift involved in trauma-informed care - understanding what happened to someone rather than what is wrong with them. "We're looking at them as a whole person and we're involving them in their treatment plan... if I'm going to ask my patient to do something at home or we're going to ask them to go take 10 supplements, the first question is, how does this work within your lifestyle? Does this feel manageable? And let's form it in a way that it does." I recommend an off-boarding list in place for when someone leaves, such as getting an official letter of resignation, scheduling an exit interview, making sure all patient notes are completed, returning office equipment, and removing access to systems. It is important to notify current patients early and often, providing them with a letter explaining the transition and three options of referral. It is also important to thank the provider publicly in an email and social media post, and end on a positive note with the employee who is leaving. Casey Wyckoff has started a number of businesses, and in this episode he joins me to share some of his biggest takeaways and what he has learned from that experience. Early in his career as an architect, he was able to learn from his clients who had big visions that it was important to listen, and to understand his core motivations, his “why.” Then to have courage and step out to do the things that were on his heart to do. As an entrepreneur, Casey has started several businesses, and we unpack the common thread between them. Looking from the outside, they may all seem to be very separate, but Casey explains how the core focus for all is on relationships, wellness, effective creation of space or place, and integration with technology. We also dive into the nature of the relationship between Casey’s professional life and his personal life, which can often be challenging for entrepreneurs. We also talked about the most difficult aspect of being a CEO and business owner, and how he’s been able to find success as a leader of high-performing teams who love what they do. Free Your Creativity and Nourish Your Soul, Opening a Yoga Studio with Heather Jolma-Fray

As someone who grew up in an entrepreneurial family, starting a business seemed like a natural step for my guest, Heather Jolma-Fray. And in today’s episode, we unpack how she came to open her own yoga studio, and what that journey was like for her. Heather says that part of what appealed to her about studying yoga and learning how to teach movement and mindfulness was this idea that she could play with how to schedule her own time and how to create classes that she really liked to teach. She also mentions that part of the appeal was that she could move around and teach where she wanted. As entrepreneurs, we all dream of and enjoy this “lifestyle freedom,” but it usually comes with some work as well. Heather and I also talked about how entrepreneurship allowed her to be the creative person that she feels like she is and to kind of live life with a certain amount of creativity, and fun, and joy that we get to play with to make our living. And even with the responsibility, Heather feels like entrepreneurship was all encompassing in a good way. It required her creativity and her focus. She says she felt like she could give all of herself to her work and kind of make it what she wanted, put things where she wanted them to be, figure out systems that worked well for her and her clients, rather than kind of having to adapt to something that maybe didn't fit super well.
